Working as a Team to Host an Event
-
If planning a larger event, consider having a co-host or co-hosting team to help. We have found it is a great energizer for friends to have a cause! If so, start your planning by hosting a team meeting to:
-
Share why you each support Walk the Walk
-
Identify your team’s hopes for this event
-
Set the date, time location of the event
-
Determine if your event will have music, sale of donated items, a speaker, etc.
-
Create the event timeline/agenda
-
Establish roles and responsibilities for the hosting team, such as:
-
leadership/point person for communications with team who will:
-
send reminder emails to the team,
-
follow up with team members on work commitments,
-
communicate with Walk the Walk Outreach
-
help the team access the Walk the Walk Outreach toolkit
-
-
Someone to head up the food/beverage planning, purchasing and preparation
-
Someone who will organize the venue set up and clean up (this could be the event host but it might be helpful to have extra help)
-
Someone to organize and track donations who will:
-
prepare and make the “pitch” for funds,
-
Set up a tracking link with Walk the Walk to identify how much money is raised
-
Have donation materials and instructions at the event.
Note: Make sure you have information on how to make tax deductible gifts through the Tides Foundation.
-
-
Someone to create the invitation/evite (examples are included in toolkit)
-
-
Plan frequency of check-ins with the hosting team and set up meeting dates
